Patient Admissions


Prior to coming to the facility, your physician will schedule your appointment date and time. Patients may call to schedule their appointments also.  Scheduling is open Monday through Friday, 8:00am to 5:00pm.  The number is 304-347-6588. Please remember you must bring your physicians order, picture ID and Insurance cards with you on the day of registration.


After you are scheduled for service at our facility, someone may contact you prior to your arrival to obtain required information - if we can obtain advance information, this will insure that you spend a shorter time during the Registration process. Alternatively, you may call 304-347-6159 or 304-347-6157 to pre-register for your tests.  For Outpatient Surgery call: 304-347-6158.

We will attempt to call and obtain your benefit information prior to your test or procedure.  We will ask for all applicable co-pays and deductibles at the time of service.  We accept - cash, check, debit cards and all major credit cards. Patients who are without insurance must contact our Financial Counselor for payment information and arrangements prior to having the procedure.


Before you receive services at our facility, you must visit one of our Registration Departments. This is to establish your Saint Francis Hospital account for the visit.  In order to create an account for you, we will need to talk with you to obtain information that is necessary for us to file your insurance claim.

You will be asked to do the following each time you present for service:

Sign a Consent Form (which gives us permission to treat you)

Provide to us your basic demographic information and an Emergency Contact person.  For your safety, we request it be someone outside your home with a different phone number from your own number. 

Sign a Financial Agreement (which authorizes us to bill your Insurance Company to insure payment of your account) We will make every attempt to secure your authorization information for your account/visit.  However, please remember that you as the consumer need to be sure your physicians office has obtained (if required) the precert, authorization and/or referral information and forms.  This information will need to be given to the facility before your test or procedure.

Sign a Confidentiality Form (we offer this service to patients who wish for no one to be aware of their stay or visit at our facility) You have the option to be listed as NON-Published in our directory.  This means you will not have letters, packages or flowers accepted by the facility and delivered to your room Phone calls will not be transferred to your room.   Non-published patients are not listed in the volunteers or PBX directory.

Have available all current insurance cards (we will need to copy cards to assist us with filing your claim)  If you do not have your cards with you we will need to list you as Self-Pay.  We need current information in order to prevent billing issues.

Have available your current Driver's License (we will ask your permission to copy your Driver's License for identification purposes)

Present any Physician's orders that you may have been given.  We must have the order at the time of registration in order to proceed with the procedure.  Please bring it with you or make sure it has been faxed to the registration department prior to the test or procedure.  We cannot proceed without the completed written order from your physician. Unfortunately, you will need to wait if we have to contact the physician's office to obtain a faxed copy.

Receive a copy of our facility's Rights and Responsibilities and our Patient Complaint Process.

Sign a notice of Non-coverage Form (if we know at the time of registration that your Insurance Company will not cover certain services, we will inform you and ask that you sign this form as an agreement to pay for any non-covered services)
You will be asked if you have an Advance Directive and/or MPOA (Medical Power of Attorney).  If you do, please bring it with you, so we may add this to your Medical Record.

You will be given a copy of all the forms we ask you to sign.  You will be given a Notice Of Privacy brochure, which is required by the HIPAA guidelines from the Federal Government

If you are going to be admitted, please leave all valuables at home or send home with a trusted family member or friend.  Remember though, you will need to bring with you the following: your order, your insurance info/cards, picture ID and any applicable copay and/or deductibles.

If you are a Medicare or TriCare (Champus) patient, you may be asked to do the following:

Answer questions relative to Medicare as a Secondary Payor (this information is required by Medicare)

Receive an Important Message from Medicare or TriCare (Champus) relative to your rights if you feel you are being discharged too soon. TriCare patients must sign this form as an acknowledgment of receipt.

Sign an Advance Beneficiary Notice (this is an agreement to pay for outpatient services that Medicare has determined to be not medically necessary for the reason for your visit)

Billing and Payment Arrangements

There are Financial Coordinators at Saint Francis Hospital who are available to assist you with your account prior to date of service, during your stay or upon discharge. You may contact the Financial Counselor at 304-347-6688 for hospital related services or 304-347-6144 for Center for Pain Relief related services.  After treatment or discharge, accounts are handled at our Patient Accounts Service Center in Richmond, Virginia. You may contact Richmond Patient Account Services if you have questions concerning your bill at 1-866-482-1976 (toll free).

It is important to remember your hospital bill covers services provided by the hospital: room, nursing care, meals, housekeeping and linen. It may also include services ordered by your physician: x-rays, laboratory tests, medical supplies and oxygen. The bill does not include charges for your personal physician, surgeon, anesthesiologist, pathologist, emergency physician, radiologist, Center for Pain Relief Physicians or other physician assistants. You will receive separate bills from these physicians.

For your convenience, there are seven Registration areas for the Hospital.

Main Admitting/Registration Department

Hours: Monday - Friday 6:00a.m.-7:30p.m.
Weekends and Holidays 7:00a.m.-5:00p.m.

Location: First floor of the Hospital to the left of the Main Lobby Entrance

Services: Inpatients, Observation, Surgery and other outpatients (except for surgeries scheduled for the One Day Surgery Center located on Donnally Street, Digital Mammography, MRI, Wound Care Center and Center for Pain Relief)

One Day Surgery Center


Location: 500 Donnally Street, Charleston, WV

Services: Saint Francis Hospital's One-Day Surgery Center offers a full array of outpatient surgical services that allow the patient to undergo a surgical procedure and return home the same day.

Advanced Women's Imaging

Hours: Monday - Friday, 8:00 a.m.-4:30 p.m.

Location: 400 Court Street, Charleston, WV Located in the "Pink Building" formerly known as Cagney's Restaurant. The department is located on the second floor.

Services: Full Field Digital Mammography, Dexa Scans, Breast Ultrasound, Breast Biopsies, including, Mammotome breast ultrasound biopsy, Mammotome stereotactic core biopsy.

Magnetic Resonance Imaging - MRI

Hours: Monday - Friday

Location: 400 Court Street, Charleston, WV Located in the "Pink Building" formerly known as Cagney's Restaurant. The department is located on the far right side lower level of the building. There is a separate entrance.

Services: One of the most advanced diagnostic procedures available, this technology allows physicians and technologists to examine almost any part of the body.

Wound Care Center

Hours: Monday - Friday, 8:00 a.m.-4:30 p.m.

Location: Medical Office Building South (MOB South), take the 'A' elevator to the 3rd floor.

Center for Pain Relief at Saint Francis Hospital

Hours: Monday - Friday, 8:00 a.m.-4:30 p.m.

Location: 400 Court Street, Charleston, WV Located in the "Pink Building" formerly known as Cagney's Restaurant. The department is located on the third floor.

Note: The physician(s) will bill separately for the services. Patients will have a bill from Saint Francis Hospital for the clinic charge and one from the physician for services rendered.

Emergency Registration

Hours: 24-hour coverage / 7 days a week

Location: Emergency Department on the Washington Street side of the facility.

Service: This comprehensive health care service is available to treat all types of emergency medical needs 24 hours a day, with board certified physicians and a highly trained nursing staff to provide skilled care for people who require immediate medical assistance. (and inpatients when the Admitting Department is closed)
